Start with the goal
A gate-count problem and a membership problem need different campaigns. First conversation sets the target — heads through the gate, tickets sold, new members, sponsors signed, donations raised — and everything downstream is built for that one number.

The hardest part is attendance, so it gets the most attention. Paid social to the surrounding zip codes, free listings on every community and tourism calendar we can find, cross-promotion with the groups your people already belong to, and a press note to local outlets. This is what puts strangers in the footprint.

Everything points to a single page on your own domain. Depending on the event it sells tickets, takes registrations, signs up members, or collects sponsorships — and it goes live weeks early, then stays live after the tents come down.

Tracked codes, everywhere
Posters, table tents, pocket cards, booth banner, ads, email. Every piece carries a QR code, and every code carries its own tag, so afterward you know which placements actually worked. Volunteers and bar staff can each carry their own code when a per-sale incentive makes sense.

The part almost every event skips. Contacts land in your list, a thank-you goes out immediately, and a reminder fires next year before planning even starts. One weekend becomes a list you can work all year.

Why the codes matter

Stop guessing what filled the room

Most posts finish an event knowing the total and nothing else. A code on every piece turns one weekend into information you can spend next year.

Spend next year where it worked
If the posters brought nine people and the ads brought two hundred, you print fewer posters and put the money where it moves. Without codes, both look identical on the ledger.
Nobody has to type anything
Point a phone camera and the page opens. No web address to remember, no volunteer with a clipboard, no line at a table. The gap between interest and action closes to about two seconds.
Credit where it is due
When volunteers carry their own code, the scan records who brought the sale. If you want to run an incentive, the numbers are already settled — no one has to argue about who signed up whom.
